Program and Operations Coordinator

Location: Philadelphia, PA
Reports to: Chief Executive Officer
Status: Full-Time (30 hours/week) In-Person
Salary Range: $45,000 based on experience]
Start Date: August 2025

Position Summary

The Program & Operations Coordinator plays a pivotal role in our startup phase. This person will work closely with the COO to coordinate and support all aspects of our institution’s launch, community programming, and day-to-day operations. This is an exciting opportunity for someone eager to grow within a mission-driven organization and make meaningful contributions to a global arts organization.

Key Responsibilities

Program & Gallery Support

  • Assist in the planning and execution of exhibitions and public programs.

  • Manage schedules, logistics, and artist communications in coordination with the Curator.

  • Support setup and breakdown of gallery events and installations.

Operations & Administration

  • Maintain organizational calendars, files, and contact databases.

  • Support bookkeeping tasks such as tracking expenses, organizing receipts, and preparing documentation.

  • Provide scheduling and administrative support to the leadership team.

Communications & Outreach

  • Draft and schedule social media posts, newsletters, and event promotions.

  • Update website content and assist with outreach materials.

  • Coordinate volunteer or intern activities when needed.

Qualifications

  • 2+ years of relevant experience in nonprofit, arts, or cultural organizations.

  • Highly organized with strong attention to detail.

  • Strong written and verbal communication skills.

  • Tech-savvy with experience in Google Workspace, Canva, Mailchimp, and/or similar tools.

  • Ability to manage multiple projects and deadlines.

  • Collaborative, flexible, and passionate about the arts and community building.

  • Spanish, Portuguese, and other language proficiency is a plus.

Compensation & Benefits

  • Salary: $45,000

  • This is a 1099 contractor position. The Program & Operations Coordinator will be engaged as an independent contractor, not as an employee.
